DATA PROCESSING PURPOSE AND LEGAL GROUNDS

The purpose of the personal data processing is to organize and hold the Forum.

The legal basis for your personal data processing under Article 6 (1) a) of the Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC (General Data Protection Regulation) is your consent for processing your personal data for the purpose to organize and hold the Forum.

You have the right to withdraw this consent at any time by writing to DAS@vases.lv. This will not affect the lawfulness of consent-based processing prior to its withdrawal.

PERSONAL DATA

Personal data is any piece of information that relates to an identifiable person. For example, your name, surname, address, e-mail address, phone number.

DATA THAT WE COLLECT

Personal data of the attendees of the Forum:

• Name and surname;
• e-mail address;
• the country, organization and position you represent;
• link to your LinkedIn account (optional);
• the personal data you indicate when adding additional information about yourself;
• personal image.

Personal data of the speakers of the Forum:

• Name and surname;
• e-mail address;
• phone number;
• the country, organization and position you represent;
• the personal data you indicate when adding additional information about yourself;
• links to your social media accounts;
• personal image.

HOW WE USE YOUR PERSONAL DATA

By providing your personal data, you agree that we use the information to such action to achieve the purpose of data processing:

• forming a list of participants’ names, surnames, email addresses and phone numbers for the participation in the Forum on the spot or online.
• forming a list of participants names, surnames, e-mail addresses and phone numbers for the participation in side-events of the Forum.
• forming a list of participants names, surnames, email addresses and phone numbers to inform about the process of the Forum.
• placing information about the lecturers (name, surname, position, represented organization and country, personal image) on the website (www.5gtechritory.com) and social media to promote the recognition and attendance of the Forum.
• developing a statistical report of the Forum, which may include your name, surname, e-mail address, phone number and the country you represent.

We may process your personal image and voice in the Forum by taking photos, videos and voice recordings and publishing it in social media and our website (www.5gtechritory.com).

PERSONAL DATA PROCESSING

You ensure the controller with your personal data by:

• registering for the Forum online and giving consent to your personal data processing;
• sharing your personal data with the organizers of the Forum to receive an invitation for the participation in the Forum;
• attending and performing on the Forum.

STORAGE OF YOUR PERSONAL DATA

• Your personal data, which does not include your personal image, will be stored for 2 years.
• Pictures and videos from the Forum, which may include your personal image, will be stored for 5 years.

OUR COMMITMENT

While processing your personal data we commit to respect strictly all the requirements prescribed in normative regulation of the personal data processing and personal data processing principles, which includes

• processing your personal data only for the purpose they were collected,
• providing that your personal data are limited to what is necessary in relation to the purposes for which they are processed,
• keeping your personal data in a form which permits identification of data subjects for no longer than is necessary for the purposes for which the personal data are processed,
• ensuring data storage safety
• considering and responding to your data subject request about rectification or erasure of personal data or restriction of processing concerning the data subject.

At the same time, we also commit to consider any complaint about your personal data processing.

TRANSFER OF PERSONAL DATA

To fulfill our functions, tasks and rights we need to transfer your personal data to other legal entities.

The data is transferred to the representatives of the marketing agency to communicate about the news of the forum in social media and by sending newsletters to the members of the Forum.

The data is transferred to the representatives of the event agency to communicate about the organizational news of the forum.

TRANSFER OF PERSONAL DATA OUTSIDE THE REPUBLIC OF LATVIA

To realize our functions, tasks and obligations it is necessary to transfer a statistical report of the Forum to the other institutions of the European Union and European Economic Union member states which hold the side-events of the Forum. Such transfer of data takes place only in strict compliance with the regulatory acts of personal data processing.

ACCESS ABOUT PROCESSING YOUR PERSONAL DATA

You can find out what specific personal data of yours we process by submitting a data subject’s request for data processing. This can be done by submitting a hand-signed application, an electronically signed application or by completing a verbally expressed application in writing.
